Understanding Payroll Processing

The first step in payroll processing is to collect all relevant data about each of your employees. Then you must provide required information as outlined by the Australian Taxation Office (ATO) to each one of your employees. This information includes:

  • Each employee’s personal details
  • Tax File Number Declaration Form
  • Award or Employment Agreement
  • Superannuation Choice Form
  • Fair Work Information Statement, including a copy of the National Employment Standards

This information is required by law and is also necessary in order to pay each of your staff members correctly.

We recommend providing each of your employees with an Induction Pack, which contains all of the above documents. If you need assistance putting an Employee Induction Pack together, we can help you prepare one.

Once you have gathered the above data from your employees, this data can then be inputted in to your computerised accounting system. We work with all types of cloud-based accounting software. Our preferences are Quickbooks Online, Xero, MYOB and Reckon.

What is Gross Pay?

Gross Pay is the total amount that an employee is entitled to. It includes wages for hours worked, holiday pay, personal leave and leave loading.

Gross Pay is a business expense.

What is Net Pay?

Net Pay is the payment that an employee actually receives. This is the amount that the employee gets to take home on pay day.

It is sometimes called Net Wages, Net Salary, or “Take-Home Pay”.

What is PAYG Withholding?

PAYG stands for Pay As You Go. PAYG Withholding are “instalments” towards an employee’s personal income tax liability for the year. This amount is required to be deducted from an employee’s pay and remitted by the employer to the Australian Taxation Office (ATO).

There are many factors which affect the amount of PAYG withheld, including: Gross pay; Residency status; Tax-free threshold claim; TFM notification; HELP student debt, and; Tax offsets.

What are Overtime Penalty Rates?

Stated in each relevant award rate is the amount that each individual employee is entitled to for overtime. Each award rate varies, so be sure to check the details of each one carefully.

Overtime is paid for hours that an employee works in addition to normal hours which are calculated on a daily basis. For example, if a normal work week is 35 hours, any excess hours worked on top of 7 hours each day is considered as overtime.
